As many of you are aware, the COVID-19 outbreak forced us to cancel the Fall 2020 season.  Because of this, we do not have recent information about any of our returning players’ skills and abilities – and no information about players who are new to Region 254. Therefore, we will be holding Player Evaluations for all players in Age Divisions 10U to 14U. Because of the timeframes in which we must complete these evaluations and begin our pre-season activities (like drafts) the Player Evaluations will take place over the next two (2) weeks.

Players are asked to attend the evaluation session for their age group. These have been scheduled as follows:

14U Boys – Wednesday, July 7, 2021 between 6:00 p.m. and 9:00 p.m.

14U Girls – Thursday, July 8, 2021 between 6:00 p.m. and 9:00 p.m.

12U Boys – Monday, July 12, 2021 between 6:00 p.m. and 9:00 p.m.

12U Girls – Tuesday, July 13, 2021 between 6:00 p.m. and 9:00 p.m.

10U Boys – Wednesday, July 14, 2021 between 6:00 p.m. and 9:00 p.m.

10U Girls – Thursday, July 15, 2021 between 6:00 p.m. and 9:00 p.m.

ALL AGES Makeup Date - Saturday, July 17, 2021 between 8:00 a.m. and 11:00 a.m.

WHY DO WE NEED PLAYER EVALUATIONS?
AYSO has a set of guiding principles that form the bedrock of its programs called the Six Philosophies. One of these philosophies is that of “Balanced Teams.” AYSO’s Balanced Teams philosophy means that each year we form new teams as evenly balanced as possible, providing a stronger learning experience for teams as they play teams comprised of similar ability. It also allows for each player to experience playing with a wide variety of teammates of different skill levels.

Traditionally, Region 254 required all coaches in our 8U and Above divisions to submit a set of player ratings at the end of each season. These ratings, in turn, were used the next year to rank returning players and balance teams. Our Regional Board felt it would be inaccurate, and unfair, to use returning player rating data from Fall 2019 to balance teams. Therefore, it was decided that the Region should have an in-person evaluation of all players. This also allows us to evaluate players who are new to Region 254, rather than just giving them a default rating - which likely would be inaccurate.


HOW DOES THE EVALUATION PROCESS WORK?

A select group of our Regional Board members and experienced coaches will be conducting the player evaluations, and each player will be evaluated by multiple evaluators, in different settings, to determine a player’s rating. Player Ratings are confidential, and parents, players, and coaches will not have access to these ratings. They will only be seen by Coaches during their draft session(s) and will not allowed to retain or copy them.

WHAT WILL HAPPEN DURING THE EVALUATIONS?
Players:
Players should dress as though they are going to a game or training session. Shoes and shin guards are required. Masks are not required, but players may use them if they want to. Players should also bring their own ball, water, and hand sanitizer.

Players will check in at the tables near the parking lot entrance to the school where they will receive a number. This number will be used to identify the player to the evaluators. Players should also be prepared to provide information about what position(s) they have played in the past or prefer to play [Forward / Midfield / Defense / Keeper]. They will then be directed to an evaluation area where they will receive further instruction. There will be multiple “stations” where individual ball handling / skill evaluations will occur. The players will then be evaluated in a scrimmage setting to evaluate “intangible” attributes such as aggressiveness, decision-making, communication, knowledge of the rules, and other general game play qualities that may be of value to coaches.

Parents:
Parents will not be allowed to enter the campus or fields. This is not a game day or training session – it is an event for players, evaluators, and AYSO volunteers working this event ONLY. It is not open to the public. Our permit does not include access to the playground or other areas of the Providencia school grounds, and parents are asked to remain in the parking lot (and keep siblings of players with them) once they have checked in their child. 

This should be a quiet event. Parents will be expected to stay in the parking lot area and not cheer, yell at, or try to coach or give instruction to, their children while evaluations are taking place. Parents also should not attempt to interfere with the evaluators in their duties, or try to influence the evaluation of any player.

Coaches:
If you have signed up to coach (head coach or assistant) you may observe players from the parking lot, but Coaches will not be allowed to enter campus. Coaches on the Evaluation Committee will not be allowed to evaluate players in the division(s) they are coaching in.


WHY THE SHORT NOTICE?
As with most things in the post-COVID-lockdown world, adjusting to new realities and waiting for restrictions to be lifted has delayed various aspects of our preseason planning. We have experienced delays in getting key items like insurance and permits set up for our coming season, and we have been unable to announce any of our preseason dates in advance until we could confirm that we actually had facilities where we could host them. For these evaluations, we just received word on July 1st that our permits for were approved and have moved as quickly as possible to notify you about these dates.

We ask that you please try to attend the weekday evaluation times set for your Division, rather than wait for the make-up date in July 17th. We only have the field for three hours for each of our evaluation sessions and our evaluators will not be able to accommodate a large number of players if they wait to attend the make-up session. 

***IMPORTANT UPDATE FOR THE WEEK OF JULY 11 - 17 (10U / 12U / AND MAKEUP SESSIONS)***
In response to many questions we have received about what time(s) players should arrive, and how long they should expect to stay, we have created a SignUpGenius page for the evaluation sessions taking place the week of July 11 - 17. You may sign up your player for a 1-hour slot that is most convenient for your schedule. Enrollment for each time slot is limited to a maximum number of players, This has been done to ensure that the evaluators have sufficient time to evaluate each player.

FAQ'S:
In response to several frequently asked questions we provide the following information:


CAN I GET THE RESULTS OF MY PLAYER'S EVALUATION? 
No. Evaluation information is for the use of Division Coordinators to determine team balance within their division.
 

HOW LONG SHOULD I EXPECT TO BE AT THE EVALUATION SESSION? DO I HAVE TO BE THERE ALL THREE HOURS?
To answer the second question first: most likely, no.

We estimate that the evaluation of a single group of players will take approximately one hour (depending on the size of the group being evaluated). Therefore, we will try to have groups begin their evaluation session at the start of each hour. 


WHAT IF MY CHILD CANNOT MAKE THE DATE THEY ARE ASSIGNED OR THE MAKE-UP DATE?
We understand that many of our players and families may be on vacation or otherwise have commitments that prevent them from attending any or all of these dates - and have received numerous inquiries and requests about setting additional make-up evaluation dates. Unfortunately, the Region has many hard preseason deadlines - in particular, the draft dates for each division - which cannot be moved. Therefore, all of our player evaluations must be completed before these drafts take place in late July, and we are not planning to schedule any additional evaluation sessions

If your player cannot make the particular date they have been assigned, you have three options:

1) Have your player attend a different Age Division's evaluation date. This is preferred to having no evaluation of a player at all. However, because of training restrictions set by AYSO, your player will not be able to participate in the scrimmage portion of the evaluation.

2) Accept the default rating which will be given to all non-evaluated players. Obviously, this would not be our preferred approach, but if players do not attend an evaluation, they will be given a default rating. This may mean that your player's rating will be inaccurate.  

3) Use their 2019 player rating [returning players only]. This is the least-preferred option. Players have had two years of physical and mental development since they last played in our Region and we know that lockdowns have restricted their ability to continue practicing or engage in physical activities. A player's rating from 2019 will most likely not accurately reflect their current skills or physical abilities. Additionally, this option also requires a lot of records retrieval and data entry time for our volunteers. 

If you wish to exercise this option, you will need to provide your Division Coordinator with:
- The Age Division your child played in during the Fall 2019 season, and ;
- The name of their coach they played for that year.
